How do I schedule interviews in OfficeGX?

To schedule an interview in OfficeGX, follow these steps:

  1. Login to officegx.com with your Administrator or any Employee with ATS access.
  2. From the left-hand menu, go to:
    Applications → Interviews
  3. Ensure the candidate has applied for a position before scheduling an interview. Interviews can be scheduled in two ways:

Method 1: Schedule via Interview Module

  1. On the Interviews page, click “Add Schedule” to open the interview scheduling form.
  2. Fill in the following fields:
  • Position:
    Select the position for which the interview is being scheduled. The Candidate field will auto-populate based on this selection.
  • Candidate:
     Choose the candidate you wish to interview.
  • Title:
     Enter a clear title for the interview (e.g., “Technical Round 1 - Frontend Developer”).
  • Date:
     Choose the date for the interview (e.g., 8/7/2025).
  • From:
     Select the start time of the interview (e.g., 11:00 PM).
  • Duration:
     Choose the duration from the dropdown (e.g., 15 Minutes, 30 Minutes, etc.).
  • TimeZone:
     Select the appropriate time zone (e.g., UTC+05:30 Chennai, Kolkata, Mumbai…).
  • Meeting Type:
    Choose one of the following:
    • In Person
    • Virtual (If Virtual, refer to FAQ: “How to Set Up Meeting Links”)
  • Location:
     Select the interview location (for in-person interviews).
  • Panel Members:
     Add the names or select the panel members from the dropdown.
  • Candidate Email(s):
     Enter the candidate’s email address(es).
  • Description:
    Use the editor to add details about the interview like:
    • Round agenda
    • Instructions
    • Meeting link (if virtual)
  1. Once all fields are filled:
    • Click “Send Invite” to schedule the interview.
    • Click “Cancel” to discard the form.

Method 2: Schedule via Candidate Profile

  1. Navigate to:
    Applications → Position
  2. Select a position and go to the Applicants tab.
  3. Click on the desired candidate’s name.
  4. In the candidate's profile, click on the “Interviews” tab.
  5. The form will be pre-filled with relevant details. You can update the fields if needed.
  6. Click “Send Invite” to schedule.

💡 You can also edit or delete scheduled interviews from the Interviews tab.
